AHS Preferred SmartLink Catalogue

The Connect Care Documentation Quality Improvement (DQI) initiative has worked to design and promote use of provincially standardized documentation templates (e.g., discharge summary). Along the way, the "Smart" building blocks (e.g., SmartLinks) used to assemble the templates have been carefully reviewed to ensure that Alberta Health Services style, format, safety and other norms are complied with. 

A helpful byproduct for designers, builders, analysts and super users -- as well as Connect Care users who build SmartPhrase personalizations -- is a curated catalogue of AHS approved and preferred SmartTools. This is maintained in the Builder Handbook and is linked from the Clinician Manual and from prescriber learning home dashboards.

New Database for Area Trainers, Core Trainers, and Super Users

We are transitioning from SharePoint to a database for our Area Trainers (ATs), Core Trainers, and Super Users, where you can easily:

  • see what training you have completed,
  • sign up to deliver or support training/practice charting/shadow charting sessions,
  • review the training and launch sessions you have signed up for, and
  • review and validate your hours.

You will no longer use the SharePoint site to validate your hours. All previously validated sessions have been transitioned from SharePoint to the new database.

Learning Better Outpatient Workflows with "Efficiency Hour"

"Efficiency Hour" sessions are offered by Epic at multiple times between April 14-22, 2021. These can help physicians become more effective and efficient with in outpatient settings.

  • Session 1: Placing and Managing Outpatient Orders (April 14, multiple times)
  • Session 2: Documentation (April 15, multiple times)
  • Session 3: Reviewing Information (April 21, multiple times)
  • Session 4: Managing In Basket (April 22, multiple times)
The sessions are open to any Connect Care prescriber. Super Users and Medical Informatics Leads are encouraged to take advantage of the sessions, as well as promote the opportunity to clinical colleagues.

Those supporting new Wave 2 prescriber-users may want to track common issues and solutions arising during the early launch experience. 

New daily postings in the Support channel (support.connect-care.ca) flag high-priority needs raised in physicians huddles, usually with links to helpful information. A day's post can be updated many times as new needs emerge.

Be Ready to Help Wave 2 Colleagues with Identity and Contact Corrections

Connect Care's information about physicians, including basics like preferred name and contact numbers, is drawn from medical affairs and other provincial sources. Some information might be outdated. For example, many Edmonton Zone physicians have recently swapped cell numbers for pager numbers.

Wave 1 launch taught us that Connect Care on-boarding provides an important opportunity to tweak information about physician specialties (roles), demographics and contact  information.

It is important for Super Users to know how to rapidly help new users to submit requests for corrections related to AHS Access, Connect Care role and Connect Care Phone Book information.

Super User Launch Supports

The Launch Supports section of the Connect Care Physician Manual is revised and updated in anticipation of Wave 2 launch, with important information that Super Users can promote to new Connect Care users.

A number of support resources are of particular interest to Super Users, summarized and linked in a "Super User Supports" section. Call schedules for Super Users and CMIO physicians-leads are linked and maintained.

Super Users Supporting Wave 2 Launch - To virtual or not to virtual?

The upcoming Connect Care launch coincides with an ongoing COVID-19 pandemic. Physician Super Users wonder how the intimate work of end-user support can be balanced with the need to minimize travel and contacts. The following clarifications are offered by Tim Graham, our Wave 2 associate CMIO:

  • Face-to-face Super User support is important and can respect pandemic mitigations by keeping as tight as possible the link between specific Super Users and a defined end-user group (bubble).
  • Clinical Departments can develop Super User support models that work best for them, taking into account Super User numbers and clinical circumstances such as local COVID-19 patterns. In-person support will not be feasible at all times.
  • All Super Users are trained to make optimal use of a variety of virtual modes of interaction, including screen shares, virtual drop-in rooms, and diverse communication tools.
  • Virtual Super Users can interact with more than one site from a single location. If virtual support is provided by a Super User, the hours contributed are counted on par with in-person support.  
  • In general, Super Users are scheduled in shifts with defined hours. The expectation is that the Super User will be available, (ideally in person but if not virtually) in a timely matter, as appropriate for the specialty area. 
  • Currently none of the Edmonton Zone Super Users have "On-call" or "Rural" contracts. This further ensures that there is no differentiation between on-site or off-site support and supporting actively versus not providing support.  When scheduling, it is important to maximize hours where the Super User would be providing support. 
  • Super User scheduled time needs to be protected from clinical duty interruptions and conflicts.

Super User Onboarding - Waves 2-3

With prescriber Super Users mobilizing, it is essential for any Super User not already onboarded to make arrangements through mip@ahs.ca. Super User training continues through March 2020. CMIO training teams can be expected to connect with all Super Users to arrange training curricula and dates.

It is important that Super Users be easy to find and recognize. Physician and resident SUs can be grateful that we're not asking them to wear aprons! Instead, we would be most grateful if all who will be helping on the front lines of Wave 1 Launch pick up a Connect Care lanyard.

These are available at the physician drop-in Centre (5G1.11 for Nov 1; thereafter WMC 4B1.39).
